Excluding location/location type from asset location being updated when owners location is updated.

Had another good question/workflow from our Open Office Hours. 

@DWOLKE 583e654 isd191 - Correct me if i am wrong with describing the workflow/scenrio: 

Older students (middle to high school) take their devices with them to the new location. BUT elementary students do not. They get a new device when they get to middle school. So district is trying to find a way to "exclude" assets location from updating when owners location is updated based on location type or specific location. 

Scenario: Chromebook is assigned to elementary student - that elementary student goes to middle school. That asset location is updated because the students location is updated. But they do not want that assets location to update because that student was at the elementary school. 

 
@DWOLKE 583e654 isd191 - I want to make sure I fully understand your process here. I have one question - Are your elementary students devices collected?

This is more-so within in-district transfers rather than moving from an elementary student to a middle school.  At the end of each year we collect devices.

 

The example is a student transfers mid-year from School A to School B - if the student is in an elementary grade band, they leave their device at School A and get a new device from School B.  If that student is a secondary student (6-12) they will take their device with them.

Are you using Rollout Scout batch check in and out within iiQ?

When they are transfers mid-year from School A to School B are you collecting that device from them at school A? And then checking out a new device at School B?

We do use Rollout Scout for batch checkin/outs but this would be more of a one off situation where it wouldn’t be used.

 

Here are the steps we would take:

  1. We are notified an elementary student is transferring
  2. We prep their upcoming Chromebook at the new school and assign it to them in IIQ before the move.  This incorrectly moves the CB to the wrong school.
  3. The student transfers to the new school in IIQ automatically
  4. On the day they leave (or possibly the day after) we check the old CB back in

Talk with another iiQ team member and might have come up with a workaround 😁

 

Workaround would be to create an asset rule

The rule would be the following: 

  • Asset > Trigger “When Checked Out”
  • #1 Filer = Role > Student
  • #2 Filter = Grads > 6th - 12th OR 1st-5th (exclude)
  • Action = Assign Location > Owner’s Location 

So when you are assigning a device to a student (middle and high school) it will assign that assets location to the owners location. But when you are changing the owner to the student (elementary) it will not update the assets location to the owners location. 
 

You would have to turn of those site options too.
