No Access with Fines still associated

First, we want to give a big shoutout to @TAnders for this best practice example!

 

Let’s say a student moves away, but still has fines associated with their account. The good news is that there is a way for you to track those individuals and forward them to the new district or save them just in case that individual moves back to your district. 

 

To get started, you will need to make sure that any user who is removed from your SSO is automatically set to “No Access”.

Now you can create a custom view for students who have no access with an outstanding fine. 

 

From your admin/agent dashboard, navigate to Users Explorer and select the New View button in the top right corner.

Name your view and select the following filters:

  1. User Role = No Access
  2. Past Due Amount (Total) = Greater than 0
    *Please note that you will select the past due amount for the payment app you are integrated with

Remember you can also adjust the columns in the View designer to show additional information about the user. 

 

This custom view will give you a full view of in your district with outstanding fines, but are no longer registered with the district!

Hey @PBauchan 650c0fd mvsd!

Yes, your filters will be dependent on the payment app your district uses. As an example, I have set my filters to Role = No Access and Fee Tracker Balance Total is Greater than 0.

 

Then you can adjust the columns most pertinent for your view and export if needed.

@Kathryn Carter We don’t store the parent emails in our system, we just have an option to email an external user a receipt when they pay the fines. It looks like Custom User fields are available in the column export list though, so if a district made a custom field to store parent emails in association to their student, it would be exportable. Last I checked you can import custom asset fields to populate, but I have not tried to import any custom User fields to see if it works. I know there is not an option to import custom fields for Rooms yet, which is a bummer for people using Events.

Adding the external emails feels clunky and was curious if you had an automated way. Thanks for the reply @TAnders

I know the SIS we use, Infinite Campus, has a field in there for a parent email address, but I don’t know if it is something that is included in what imports into IIQ to be mapped to something. I would imagine other SIS’ have a similar field. Maybe something for the dev team to check if they look for that.

@TAnders I think we would need to be able to add parent emails as a rule action, which is already in the Idea Exchange. Thanks for the confirmation follow-up.
