What are you doing for device distribution?

While we would like to say summer is the lull, we know that’s not true for many of you. This time of year can be one of the busiest as you are going through the devices collected at the end of the year and repairing them, ordering new devices, and preparing for the new year. 

So have you started your device distribution plan? Are you doing something new this year? Did you have a significant rollout last year that you are using again this year? August will be here before we know it, so we want to hear how you are preparing!

We have done it a few ways. For our 9-12 macs it's always the same. We go into a highschool and issue them out. (Any students not there that day, the school will put in a ticket for to be delivered later.)

Typically we pre-assign our K-8 iPads based on enrollment as of a specific date. We deliver those to the schools in the day or two before school starts.

However the last time we had a device refresh, which was the first year we had iiQ, our Director took all of the information from jamf and synced that to iiQ to assign the devices (after the first few days of school), and from then on we used tickets requesting new iPads and assigned in iiQ directly.  This year is a refresh year and I don't think it's been set in stone yet which route we are going with.

This will be our first year using IIQ for checkout. Prior years, students would receive their Chromebook and charger during grade level orientations. Now that we are using IIQ, we have changed it to one full week of pickup dates at one central location for all secondary students to pickup. We’ll be using batch checkout for the first time as well. The one issue we have with checkout is the charger is also asset tagged and assigned to each student and batch checkout only allows one asset to be checked out per ID scan. It’s not a red hot issue, but it will take some extra time to complete the process (and yes, I’ve already submitted this as an idea haha!)

Hey Brandon,

What if you linked the charger to the laptop and stored them together before deployment?  This would be an additional step prior to deployment, but could cut a couple of steps during the deployment.

Even with it linked to the device, we still have to scan the asset tag on the charger when checking it out, otherwise IIQ will show it as in storage. It would be nice if linked assets could be checked out with the main device instead of having to scan the ID again when using Batch Checkout.

This year? I am calling in sick that week. 😀

 

Hopefully we can get everything staged and ready before the first day of school. It's always down to the wire and long weekends to get to the first day of school. Usually by Labor Day I will want to sleep 3 straight days.

We will run an export from PowerSchool to print name tags for the new students. We then will alphabetize the iPads K-8 so the schools can issue them. The tech department will go to the 4 high schools and do checkout there. We will try to help out at the middle schools, but we do not have enough employees to cover all buildings at the same time. So they will have to take some ownership.Then we hope they follow directions. 😏

 

Beginning and end of school, are not a great time. Or maybe they are a fabulous time, depends on your perspective.

We are continuing to refine our process.

In grades K-5, Chromebooks are in cabinets in the classrooms. The number of devices varies based on grade level. Grades 3-5 have the devices assigned to individual students. Lower grades have devices assigned to cabinets.

We are transitioning to issuing new devices to 5th graders. This device will be with the student for grades 5 through 8. Over summer, last year’s devices will be brought to the middle school.

At the middle schools, we collect all Chromebooks over summer. Devices are repaired and stored onsite. For distribution, devices are checked out, then sorted into totes by a designated class. Teachers then hand out devices and chargers on the first day of classes.

At the high schools, the tech department has handled checking devices out to all students during the registration days.

We are doing the same as last year when it comes to checkout. All Chromebooks are in storage in IIQ using the storage tracking by bin/slot #. I’ll be sure to post photos when we have it all setup next month. We do checkout for the entire district at one central location for 4 days. Our goal is that no one waits in line longer than 20 minutes. Last year after we reviewed cameras, we had one day when people were in line for just under 30 minutes one day. We plan on having more checkout areas this year than last and with paperwork and payments being completed online before they arrive, it should speed up the first step of picking up their Chromebook.

In grades K-4 we assign iPads to the students who have them assigned in Mosyle - so that happens automatically.  In those grades iPads are in carts in classrooms.

In Grades 5-12 this is our first year using IIQ for checkout.  Our plan is to pre-check out all devices to students and deliver them to their advisory classes to be distributed by those teachers on the first day of school. Any leftover laptops will be gathered up from those classrooms at the end of the 1st day and brought to the Tech Cafe in each building.  Students will then be able to pick them up from there if they didn’t get them on the first day.

We’ll see if it works!
