We have a number of assets that stay permanently in a certain room where users come to said room to use the equipment.  To assign the asset to room X, we created a “user” Room X and checked the equipment out to this “user”.  

Is this the best way to do this?

Is there a way to assign equipment to a location without having to check it out to a user?  

I’m curious as to how other institutions handle similar situations.

In my previous district, if the device was part of a class set, then we checked it out to a “room user” like you’re describing. Helped ensure we had the correct number of devices instead of just adding one every time a new student arrived.

For most static items - projectors, smartboard, some desktop computers - we just assigned them to the building & room.


In our IIQ environment there are several fields that help with specifying location…

LOCATION,  ROOM, and  SPECIFIC LOCATION

The first two are drop list fields that have to be configured if not already and the last is a free text field that we have also found to be useful.

Thanks for the responses.  We are going to opt for temporarily assigning permanent assets to a user, populate the location, room and specific location fields and then unassign the asset.  Please let me know if you see an “gotchas” with this method.
