How does your district track and manage device fees when your fee management system doesn’t integrate with IIQ?

How does your district track and manage device fees when your fee management system doesn’t integrate with IIQ?

Our district plans to implement an upfront device fee (insurance) for students. Depending on the selected fee structure, students may incur additional fines for device damage throughout the school year.

Our district already uses RevTrak for all payment collections, but it does not directly integrate with IIQ. However, our SIS, Skyward, does communicate with IIQ. Our challenge is determining the most efficient way for RevTrak to share payment data with Skyward and for Skyward to update IIQ accordingly.

We are exploring potential workflows or automation to streamline this process and ensure accurate tracking of payments and device status. I would love to hear what other districts are doing when their fee management system does not integrate with IIQ.

Commenting so I can follow along; we’re still pondering this one, too. This year, I created “dummy” assets for insurance that are assigned to the students. It’s a manual process, but seems to have helped a little.

I’m not sure - we don’t do any tracking in iiQ for fees currently so I haven’t ventured into this one myself.

Also commenting to follow the thread; we have the same setup (Revtrak, Skyward, IIQ) and we have a functional, but not complete workflow.

Currently our district uses Skyward as the unified hub of student data, including fees. Revtrak and Skyward are linked (as far as I know this is a native feature that both support) so that fees and payments can be synced between the two. The issue (for IT) is adding in IIQ to the mix. We currently have to perform a manual, weekly export from IIQ fee tracker and upload it into Skyward after some spreadsheet manipulation. The manual process is not arduous, but definitely an annoying bit of inelegant tedium that opens the door for human error.

The other big shortcoming is that the link between IIQ and Skyward is one-way. So we don’t know (in IIQ) if the fee was ever paid. That has to be confirmed in Skyward.

I’d love to know if someone has found a way to setup an autonomous, two-way fee sync between IIQ and Skyward.

Our district has a tech tab in Synergy that has a fee dropdown with various fees that we can assess. Techs or other responisble users will determain the fee is needed, add a line item in Synergy with the approprite fee along with a note that has the serial # the fee is tied to. There is a box that can be checked once the fee is paid and if the fee is for a missing device that comes back into our posession, the technician checks for the fee and removes the line item. Our Synergy team will send out letters to the Family on a quarterly basis. It is a very manual process at this point. Remembering to assess fees, remembering to look for fees and remove when necessary. But Synergy ties to our existing system that allows parents to pay the bookkeeper.
