Making Assets Facility Assets?

I know there’s a way to make a model a “facility” asset, where the devices are not tied to specific person but rather a location. But is there a way to make specific assets of the same model do the same thing?

As an example: we might have a model of Chromebook that we use (or an iPad). Some assets belong to a classroom and are not “owned” by any particular person, while some assets belong to specific staff or students. We don’t want to mark that model as a “facility” model, because then we won’t be able to assign them to specific people.

If you can’t do this directly, does anyone have a workaround? Do you just leave those classroom assets as “unassigned” for the owner?

@MJohnson 120134e duxburyma Thank you for submitting your question to our community! 😄

I am interested in what our districts use as well. I know @bclark and @Cozmo03 use the facility equipment work around. Some other leaders in our community this week, @jclark @ZGarber 4208988 glshelp @CLee 1176405 shakopee @mrodriguez @PBauchan 650c0fd mvsd What do your districts do?

We just leave them unassigned.

Our environment might be a little different, Every full time teacher has a Chromebook but depending on the building you may have a different model. Then every student K-12 gets their own Chromebook. However, in our Kindergarten classrooms, the Chromebooks are just in a cart, and are not assigned to the student, the teachers have assigned the students which to grab, but we know that doesn’t always happen, so we just leave them unassigned.

Unfortunately each model has to be assigned as a “Devices” (checked out to users) or “Facility Equipment” (not checked out to users, just assigned to rooms). You would have to create a model with a differentiating name like Chromebook Model1 (User) and Chromebook Model1 (classroom) or something like that so that can differentiate the device type.

Does that make sense?

We have different situations:

Devices in classrooms that belong to the classroom that are not mobile: we do not assign but do mark building and room for location. example: desktops, printers and interactive boards/TV

Devices in classrooms that are mobile: usually these are in some sort of cart or charging station and we assign them to the teacher in that classroom. This gives the teacher accountability to the devices in case one walks away or gets damaged to have it reported to Tech. (majority of the time this only applies to K-5, any sped classrooms  in middles and high and some office staff like secretaries/counselor)

Any other mobile device: must be assigned.

@ZGarber 4208988 glshelp @Cozmo03 @mrodriguez Thank you for sharing your insight on this thread! I knew that our districts would have workflows to share with @MJohnson 120134e duxburyma 😄

Thanks everyone. I had a feeling that was the case. I will probably leave the devices unassigned for now. Thanks again for all your feedback and insights.

I know I’m late to the party, but we do a mix. Like mrodriguez, if it goes with a teachers classroom, we assign it to that teacher. However, if it is not associated to the particulars of a given teacher, but it is in a permanent place and the responsibility of the building team, we assign it to a custom user, in our case BT Shared Asset. This would be display boards, copiers, etc. We do this to distinguish those from devices that are simply not currently used by anyone or in some other impermanent state. Those assets are unassigned. Distinguishing those two groups has been very helpful to us in managing our inventory.
