Change Asset Status via Rules Engine

Let’s say you send an asset to a vendor to be fixed and update the ticket status to “In Repair”, but the asset itself still says “In Service”. Some districts have found that when they change the Asset Status as well, it provides more accurate reporting and analytics. It can be tedious to change the statuses in different places, so why not create a rule?


Create Custom Status

First, you will need to create the Asset Status “In Repair” by going to Administration > Asset Statuses and selecting + Add Asset Status in the top right corner of the screen.

Type in the name and use the toggles to determine in which modules this asset status should appear then click Save.


Create a Rule

Now you can create a rule that will update the Asset Status when the Ticket Status is set to “In Repair”.

  1. In the left navigation bar, go to Administration > Rules 

  2. On the left side of the screen: 

    1. Select Tickets in the Ticketing section

    2. Select when ‘Updated’  in the Triggers section

  3. Select the + Create New Rule button in the top right corner

  1. Name your rule

  2. Add the filter Status In Repair

    1. Select the + Add Filter button on the right side of the screen

    2. Type Status in the search bar

    3. Select Status

    4. Select In Repair

    5. Click Save

  3. Perform these Actions: Set Asset Status: In Repair

    1. Select + Add Action

    2. In the dropdown that appears, select Set Asset Status

    3. Another dropdown will appear where you will select In Repair

    4. Click Save Rule

I was looking for a similar way to make a rule that would set the status of an asset to “In Service” whenever we changed the Owner to something other than None. Is that possible? I haven’t found a Condition in the rules engine that would work for this.

The key for you would be “When field is Updated > Owner” filter and then set the status via actions.

@Hannah Bailey I like the idea but, for Chromebooks, what happens when the asset status “in repair” does not exist the Google Console? Won’t the overnight sync just change the device status back?

You are right if you have the MDM setting to update the asset status each sync.

@Hannah Bailey  But Hannah, you did get me thinking….So I turned off “update asset with each sync” and added a general rule that “push updates to google” every time we update a Chromebook. This is working like a charm.
