Custom View: No Access with Assigned Device

So the end of the year comes and it’s time for everyone to return their devices. What about those students/teachers who are no longer with the district? Either they graduated or went to a different school in the middle of the year and possibly didn’t return their device. You can create a Custom View to see who still has those devices.

In the left hand Navigation, select Users > Users Explorer
In the top right hand corner, select New View

Select +Add Filter and add the following filters:
1. Role > No Access
2. Asset Ownership > Has assigned device
  
  Please note that ‘Has assigned device’ will only filter and show IT devices.

On the Columns tab, add the Assets column and any other columns you find useful for this view, then select Save.

You should now be viewing a list of students who are no longer with the district, but still have an assigned device. Are there other Custom Views you have found useful for the end of the school year? We would love to hear about them!

Is there a way we can add the Asset information to this report, specifically the Asset Number and serial number.

Relied on the other thread as well.

When exporting your custom view you are able to add the additional columns for asset tag or serial number to your export. Please see the image below:

I do not see that choice in the list or nor does it appear when I type it in manually.

I am sorry. I mislead you. You can add the asset tag and serial number as a column when creating a custom view in asset explorer.

Currently, you are unable to add these columns when filtering on the user's explorer view. I did find an idea that you can go vote on regarding the columns in different areas within iiQ:

This is a great view to have, I’m sending this out to my team right now.

Selecting Asset from the User View will show the Asset in the view and give you the device.

During the school year, I have a rule ( Assets - when Updated ) Filter = Role No Access to trigger an email to our team to keep up with students/staff leaving the district that no one tells us about.

Sure this is going to flood our inbox at the end of the year

I used this same view setup but added outstanding Fines instead of Assets for my team here to go track down people that owe us some money.

This view is interesting… but I’m wondering if this can be taken further with Rules.

Can a Rule be created to automatically send emails to the Parents of these NoAccess Students with Devices checked out to them?

We allow Students to take devices. And they often do not come back upon withdrawal/end of year. We spend a lot of time doing recovery.

Currently, you are unable to send emails to parents via the rules engine. But found the following idea in our idea exchange that you can go upvote:

Currently this is a bulk report showing all my teachers in one report. I need a report by individual teachers that I can print out and give to them so they know what they need to return.

Yes, built in pagination based on a field like Teacher would be a great feature.

I want to inform everyone about a recent update: a new filter section called "Asset Ownership.” This new filter section contains a new filter called "Has assigned device.”

Previously, the “Has Assigned Device” filter was under "User Attributes." Please be assured that this change will not affect any existing rules or workflows you currently have in place if you use the previous User Attribute> Has assigned device.

Please note that the "Has assigned device" filter will only show IT devices.
