Is there any way to suppress the default approval emails from Events?

We have set up a rule in Events that will put an event request into a separate approvals process if the organization has been marked as Restricted or Pending Approval. This would happen, for example, if an organization’s insurance had expired since the initial sign up, and then they attempted to put in another event request with expired insurance. As part of our rule, we have created a specific email notification that goes out to the Organization Approvals Team who is notified that they need to review the submitted insurance and/or request new insurance.

However, it seems that even though we have the rule set to stop processing rules, the next step approval team (a building based team) is also being notified via email. The email looks like a default message from the IIQ system titled an “Event Request Summary.” Attached is a screenshot of the email. Is there any way to turn this notification off? We do not want our building base approvals team to be alerted that there is a pending event request until the organization approvals team has approved the organization. Not sure if this is possible, or if this would need to be a product improvement request rather than a question in the community. Thank you!

I believe this email is hard coded into the approval workflow. I am gonna tag ​@EStapf_iiQ , one of our CSMs whose favorite thing to talk about is EAW to see if she has a workaround for you.

Hi ​@HWeddle 133a03 msad75 for submitting your questions regarding EAW Approver emails! It looks like you may have already found it, but the approval email is governed in the Events module by rules. Tickets > When Sent for Approval:

Rules > Tickets > When ‘Sent for Approval’

Currently it looks like both of those rules are disabled,

so no approval emails should be going out now. Are you still having issues since disabling the rules?

Hi ​@EStapf_iiQ -- I think ​@Kathryn Carter is right that the message we’re seeing is hardcoded. Can you confirm that an email type called Event Request Summary is part of the hardcoded process?

Related to the other comments you added about rules you are seeing in our Events platform: those are rules that we created during our Events implementation that are to fire immediately when a request hits an approval team’s queue. But because we haven’t launched live yet, we don’t want those emails turned on. However, they should not be triggered in the case where the organization is not approved, as that sets off on another approval path. So the disabled rules you were looking at are unrelated to my original question.

@HWeddle 133a03 msad75 Thanks so much for reaching back out for the clarification! After conferring with the amazing@ABelant_iiQ , he did confirm this works a little differently than our traditional EAW Approval Email rule(s) and that the Event Request Summary is hard coded within the iiQ Events module and is not able to be adjusted (WTG, ​@Kathryn Carter !). I’d encourage you to submit an idea within the Idea Exchange for this one.
