Hi,

My job is to create work orders for site issues that had send in to our maintenance dept. I encountered a fire inspection report which I had to send out work orders to notify several departments on what to improve so they can fix the issues for the re-inspection.

I noticed it’s very time consuming if I have to make tickets one by one for each department for the same school site.

I’m wondering if there is a way that I can submits several tickets for one school site, and the system will automatically send out tickets to the designated agent/ department?

Hi @YWu Hogan 360b052 wccusd😀
Thank you for your question!

I’d love to get a little more information...

Are the work orders that you are needing to share out to various teams related to different assets in the building?  (Ex: There’s 4 fire extinguishers throughout the building that need to be fixed and you want separate work orders for each)

or are you just sending in one work order to be fixed and looking to notify multiple team members of that fix?

The work orders I want to create is more for one school site but with several issues the site has. Each work order belongs different assets. For example, I have ABC Elementary with Carpentry repairing, custodial, and electrical. I want to be able to submit or do the orders just with ABC Elementary for 3 different departments to receive the orders.

Right now, I have to create 3 orders instead if I can base on the location and submit several different orders to different departments. Cause I have so many to do at once and I noticed I had forgotten to change my location for couple of the tickets, the department supervisor had to ask me which site is this ticket for. I had to go back and dig in to my note on the report again.

@YWu Hogan 360b052 wccusd If you have assets in your site you can bulk submit tickets that are the same issue.

For instance, if you had 5 fire extinguishers across the district that needed repair, you could bulk select all 5 fire extinguishers and submit tickets for those repairs:

After selecting “submit tickets” you can select the appropriate issue and add actions in the workflow section, like assigning the work orders to different agents or teams based off of the location:

Currently, we don't have the option to select one location and submit multiple work orders with different issues simultaneously. However, this would be a great suggestion for the Idea Exchange! Other districts could upvote and comment if they find this feature beneficial as well😁

Thank you! I think I could try to utilized this function you showed me to do a bulk work orders. I will have to do some analytic work before I place the orders. 🤔

Thank you @GWeiland_IIQ for helping on this thread. @YWu Hogan 360b052 wccusd Let us know how it goes!! 😄
