Our district uses our student accounting system (PowerSchool) for fees. I am looking for a way to use the tickets created as a damage report to send to parents explaining the damage. The pdf print out of tickets right now gives a little bit too much information and I think it may confuse them. Anyone have any ideas on how to do this with incident IQ?

Follow up question….Are the tickets submitted by the student or on behalf of? Or is the student listed in a custom field within the ticket?

I would recommend creating a view with that student’s tickets that pertain to damages and then add any additional information by adding columns to the view. You can then export the view to provide to parents. 

Reasoning for the follow up questions is to allow for the student to be filtered when extracting the tickets in the view. I highlighted the options below for filters that could be used if they are requested, submitted by or on behalf of.

 

If student is populated in a custom field that could also be filtered in the view under Custom field filters.

@MAnthony 913e6be elanco Another option could be the Fee Tracker app if installed on your district site and used to track fees/fines for damaged devices.

 

 

This would allow you to add this information to the view I suggested creating in the post above. Or you can generate and send invoice statements to parents/guardians if they are brought in as related users from your SIS.


We will be having students enter the tickets for the most part. I had played around with filtering the view and exporting but when doing this you can’t see the pictures of the damage which is really the most important part for us. 

 

Unfortunately we are not moving away from our invoicing system as many other departments use it but are not using incident IQ.

We use the Fee tracker and create “Fines” that we send out with a letter we attach to it. You have the option to either email it or print it out and mail it.

The nice thing about it is that you can keep track of all their fees under their user account.

@MBesnier thanks for the info! When you do this does it automatically send the invoice through incident IQ? I am thinking this might work if I’m just using this to create the printout to send with the fee system out district currently uses.

It does not on my end. However, it might be something that can be automated, I just have not looked into it.  For now, I just “Generate Invoice” and send it myself.

@MAnthony 913e6be elanco  Creating a view that filters on the Fee Tracker balances then generating invoice/statements in bulk is a great way to save time if you have multiple users that need printed statements.
