I often tell the story about how I had an assistant principle that was promoted to being a Principle and she handed me a folder of things she used to do. I didn’t renew a VERY important piece of software. That was the last time I forgot about that!

One option i have seen would be creating the license/subscription as a Part. If you did this, then you could set the quantity of how many licenses/subscriptions/etc you have and assign them via a ticket to a user. I have seen districts do this for  Acrobat licenses. It lets them track how many are being used and if more are needed. You can create custom fields on the part for the subscription start date, end date and other needed fields.
