Using a flat file to assign assets to multiple owners

Hello,

I have a .csv file with key information such as serial number, asset number and Owner School ID.

I need to update these assets with the new owner information (Owner School ID) in bulk.  How do I go about doing that?

Thanks.

Hi @JHarper 7767c1 pgcps!

I believe the field you are looking for in the Field Mapping step is Owner.

If your file column title is Owner School ID, you will want to map that to the Owner field in iiQ. You will not need to include both Owner Name and Owner School ID.

You will need to remove the Owner selection from the Owner Name in order to select it for the Owner School ID field from your file.

Please let us know if that helps.

Hello @JHarper 7767c1 pgcps

I hope you are doing well. Thank you for contacting IIQ community. I will be happy to assist you.

To update multiple assets with new owner information (Owner School ID) using your .csv file, follow these steps:

1. Go to Assets > Import Assets in the left menu. You can download a template or use your own .csv file with a header row.

2. Drag and drop your .csv file into the CSV file to import area.

3. Map your spreadsheet fields (Serial Number, Asset Number, Owner School ID) to Incident IQ fields, ensuring Owner School ID is correctly mapped.

4. Use Serial Number or Asset Number as matching criteria. Include only columns to update; remove unnecessary ones.
5. Complete the import to update owner information for matched assets.

Please make sure to include all the required field for successful update
I am also attaching the KB article for your reference, which provides a step-by-step guide. Please feel free to reach out if you have any further questions and concerns.

Thanks for this.

So the unique fields include the Owner School ID.  When I set up the import, there is no mapping for that custom field.  How do I add that custom field so it can also be mapped?

Hi @JHarper 7767c1 pgcps  you can  create the custom field in Incident IQ under the Custom Fields section in Administration. This ensures the field exists in the system and can be mapped during import.
Please see the KB article for your reference. This includes Custom Field.
