Improving Email Notifications and Separation of Duties

Hello,

Newbie here but coming from a competitor that we used for a very long time.

The biggest struggle we have found so far is the limited capacity of customizing email notifications.

It would be nice to:

  1. Change the “notifications” email address and customize it to the email linked to the email that receive that notification.
Example: we have 3 addresses in our ticketing system but the emails coming in are all coming from “notifications” and there is no easy way to filter or change it that I am aware of. This would be very helpful as some of our staff (admins) get emails from multiple email addresses associated to the ticketing system and that is just confusing.

  2. Email notification that matches the subject of the email sent by the person opening the ticket.
Example: Our users open tickets sending an email 99% of the times and when we receive the notification that a request was received, the email notification in our gmail inbox shows the ticket number, the body of the email but there is no trace of the subject.
We can view the subject opening the request but sometimes, especially when we are on the move, this is cumbersome and it would make much more sense to see the quick subjectline showing up that gives us an idea of the request instead than just a ticket number with a notification that states “The request was assigned to the team xyz”.

  3. Allow clean separation of duty based on team membership at the admin level.
I noticed that admins can access any request despite their team membership. That is cumbersome and not good. We need containerization for some admin roles and customization of which work requests they can see...this can be done for agents but not for admin accounts as per my understanding.

Thank you very much

Hi @ABarone 253df44 kingscoe. Thanks for taking the time write all this out and submitting this thread to our Community. 😄

  1. This is a site option that you can adjust the “from” address and the “from” name. This might help with some of that confusion.

  2. Here are a few ideas about email customization. Please check them out & add feedback or use cases as you see fit!

  3. I have created this idea on your behalf for this last idea:

Please let me know if there is any follow up questions or if I can help with anything else!

Thank you very much for that @Kathryn Carter ...I went through the different threads and I think that, as close as they might sound, the submitter never fully express their needs exhaustively like I did here.

I do understand the needs of avoiding overlapping and I voted those threads just to provide some support for customers experiencing some similarities.

Wondering though; some of these requests won’t be really developed simply based on vote because majority of your customers likely use a single email to a single group and they won’t support my idea of leveraging multiple emails to multiple teams.

Also I noticed that one of the threads you mentioned is from 4 years ago and has now 198 votes.

When will developers decide than an idea is worth it?

@ABarone 253df44 kingscoe Thank you for your detailed reply. At this time, I will direct you to our Getting started with Idea Exchange guide! This guide explains our Development process with idea exchange.

While community engagement—such as vote counts, comments, and the request's age—provides valuable insight and helps us gauge interest, it is one of many factors we consider. Our product team conducts a thorough assessment of each request against key criteria to ensure alignment with our platform’s long-term goals and stability, including:

  • Strategic Alignment
  • Technical Feasibility & Resources
  • Customer Experience & Friction Reduction
