Assets

We’re looking for a way to export our list of spares from our Spare Pools. I was initially thinking to just filter down all the assets using the “Spare Pool” filter, but it doesn’t look like that filter exists any more? I know I’ve seen it in the past and there is another post that involves this filter. Is this a bug? Or is there another way to filter down assets to get stuff from the Spare Pools? The reports in the Spare Pools aren’t exactly what I’m looking for either.

When I assign a device, I want to write to the Notes field of the device, “Assigned on (date)”.  Is there a way to insert today’s date in that field, maybe with inserting tags of some sort? Thank you!

I’m having an issue when using the iiQ Mobile App to scan device barcodes. I am using an iPhone 14 Pro, currently on iOS version 16.5. The iiQ Mobile App is on version 3.8.7.23052401. I’ve noticed that when I try to scan an asset, initially the focus is very blurry. However, if I move the device camera further away, the focus becomes more clear. I don’t have any issues with my camera outside of the iiQ app. Two of my coworkers using an iPhone 13 Pro do not have this same issue. Thoughts? Has anyone else had this issue?

Is it possible to remove and/or rename storage units? Some storage units were accidently created while importing assets. I can’t seem to find a way to edit them.Also, it seems the only way to see a list of all storage units is during the process of selecting the storage unit filter? This should be its own dashboard and management page like spare pools.

Is there an asset export option that matches exactly the import expectations? I certainly may be overlooking the option to do this. I do realize this is a small change, but it seems this data should flow out of and into IIQ seamlessly. I have setup export views to be able to export our assets, make changes to owners, etc. en masse. The import asset function requires slightly different header values than any of the export options. “Asset Tag” with a space is exported while “AssetTag” is the expected import value. “Model” is the only export value whereas “Model Name” is the expected import value. 

We used to be able to search through our assets with a wildcard joker of % as in %123456 and it would populate all assets that matched. Now it ignores this. The removal of the feature had to have been recent as I showed someone this feature earlier this month. Are there plans to bring this feature back or is it gone for good?

Is it possible to check out an asset to a room rather than a user? Each year we have teachers who change rooms but the assets stay in the rooms (desktops, projector, SmartBoards)

I am looking for ways to more efficiently manage our student loaner devices, both for daily and long term loaners. Daily would be for students who forget to bring their devices to the school or forget to charge their devices. Long term would be when the devices are sent out for repair. We have three tech centers servicing nine buildings. We currently use a combinations of Google Form and IIQ to keep track of our loaners. My hope would be to process everything within IIQ.  

I feel like I'm spamming the place with questions right now 🤦‍♂️ We used storage tracking for the first time today. Overall it seems to work well but we did come up to an odd scenario.If the page refreshes, or if you open a partial box, it does NOT seem to recognize that the box has been partially used.For example, I have a box named WHS 1 with 10 slots that are full (see screen shot). If I go to batch check out and tell it I'm doing box WHS 1  it does NOT show that those 10 slots are already full.  It seems to us since I picked an existing box it should show those slots as unavailable? I poked around site options but didn’t see anything. Has anyon

Is it possible to set default columns when creating new asset views? I often have to create views that have the same columns, and when I scan items in and use the bulk menu to put all selected assets in a new view, I have to manually go in and change the columns, like usual. Is there a faster way to do this?

When we first imported all of our assets, we created over 800 model mappings. Now that we have out systems working better, we would like to delete all of those old, outdated mappings. We would like to start fresh. Instead of having to go one by one, is there a way to delete all the mappings at once?

Our district just ordered several iPads (10th generation) but I noticed Incident IQ does not yet have this included in their list of available models as part of the global Incident IQ Catalog. We can create our own model for it, but then, after Incident IQ gets around to updating the catalog, we’ll have two categories with the same name. How often does Incident IQ update the global model catalog? Thanks.

I am looking to set up a rule so that any time a chromebook is placed into a specific asset status to automatically deprovision the chromebook in google console.  For the rule, I used “Asset” when “updated” and the only options I found was to wipe device. Does anyone have any idea if this is possible? Thanks! 

I can’t find how to provide permissions for our agents to verify an asset.Right now, if they multi-scan they can verify multiple devices but if they look up one device the option to verify doesn’t exist. What am I missing?

We have a need to show that we’ve checked out items such as a stylus, a charger and a sleeve/case to a student or staff member.  How are others handling this as IIQ doesn’t support this natively?  At present we have designed a powerapp that integrates with IIQ and a custom field for each item.  Ideally I’d like to be able to add these as parts and check them out that way so it has a nice inventory record, but we haven’t been able to do that yet. 

We have had some issues arise that we need to be able to merge the user and ticket history on duplicate devices due to CloudReady Chrome devices were updated and the CloudReady Serial number (Mac Address) was changed to the actual Serial number of the device by Google updates. Support was able to merge the bulk of these devices but do not seem receptive to merging stragglers that we find after the initial merge.  We are told to search our deleted devices in iiQ for the same asset number.  This is not ideal at all.  Since we are able to merge users at Admin Level, I feel like merging Devices should not be an issue.  ??

When working with multiple assets, using a scanner to create a list of specific items is amazing. Then you can bulk update. However, if you don’t have a scanner handy, how do you search for and create a list of multiple items that can be bulk updated?

Can IIQ asset be used for management/ check in/ check out for Band and String instruments? What would that look like? Do we need custom fields? Has anyone done this with instruments?  Also, is there a way to auto generate an email to parents when an asset is assigned to a student?

Hello,We’re very new to IIQ Assets.   We’re trying to develop a process to enter new assets as they’re purchased, and then assign an asset tag, serial number and location as the assets are deployed.We’d like to use the purchase order number as part of the temporary asset tag until the asset is deployed and an actual tag is assigned.   I have entered two assets under this scheme, but now when I search, only one is returned.I’m using the following as the temporary asset tag numbers:2302962-12302962-2When I search for 2302962 only 2302962-1 is returned in search results.  I’ve also tried searching for 2302962@ and 2302962% based on a wildcard post from the community - no luck with those searches either.I’ve also tried using asset tags 2302962X1 and 2302962X2 in case the hyphen was causing trouble.  No luck.     Even if I search for the full asset tag number (2302962X2), I cannot pull up the asset in search.We’d like to be able to

I am starting to set up our Audit Manager and have scheduled a monthly automatic verification and a yearly in person verifcation schedule for our chromebooks at the high school.  We have started to go through the list of failed verifcations and check what those students currently have.  When checking their devices we manually verify those devices but they are still showing up as failed verifications after we add it manually.  Do I have something set up incorrectly or does it take a while for the system to change their status?

I am looking for the ability to allow specific staff to view the Google Device Data when viewing Chromebook assets. I’ve looked through the permissions but I haven’t been able to find anything that allows this through testing. I’m also looking to allow the same specific staff to enable/disable chromebooks and I see the checkboxes in the permissions but it doesn’t seem to do anything when checked.Any ideas would be helpful, thanks!

I just purchased 400 Chromebooks.   They were purchased wtih a grant and need to tracked with the funding source field.   The Chromebooks have not yet been added to the Google Admin Console, so they have not synchronized with incidentIQ to have them automatically added.  I have a spreadsheet from the vender with all of the serial numbers of all of the Chromebooks.  If I import the spreadsheet with the funding source assigned prior to them being added to incidentIQ via the Google Devices sync, will it just update the ones I import or will it create duplicates.    I do have the Google Devices app set to “Update Asset”, but it doesn’t seem to work.The reason I am hesitant to just try it is my secratary had added a single chromebook and assigned it to a user prior to it being added to the Google Admin console.   After it was added via the sync, it created a duplicate instead of updating the one she added.   I thought maybe there was a typo in the serial number, but when I

So, has anyone figured out how to use user attributes within an asset view? I have mapped custom fields that show a person’s job title within their user page.   I would like to create an asset view that shows me a device assigned to a user and allows me to filter on these attributes but the attributes aren’t available in an asset view because they are user attributes, and not asset attributes.   is there any way to accomplish this?   Thanks for any advice you can offer. 

I recently was inventoring our office using the batch check in/check out and didn’t realize it automatically changes the status field to “In storage”. Is there a way to see what items were changed from “Parted” or “Broken” to “Instorage” so I can fix those? If not I guess I will just have to rescan them into their own batch and fix them that way. I see the option to view items that have status changed but I don’t know if we can go even deeper than that or not. Thanks!
