Assets

We are fairly new to iiQ and are a little lost on what the purpose of the asset verification is. Our thought process is that if we touch the device, label it and give it to the student, we have verified it both physically and in iiQ. This is also our first asset management system, so we are new to the idea as a whole. Just wondering if anyone had a little more insight on asset verification or maybe some examples of how you use it within your district.

One of my techs came to me saying that one some assets, not all, when you bring up the asset record, the submit ticket button is greyed out. I had them provide me an example and when I got to the asset and hover over the submit ticket button, it shows “visibility is disabled for this role”.  Can any tell me what is causing this? Thanks in advance or your help!Gary

I was setting up a custom view and I wanted to exclude assets that were missing a value in a specific column I couldn’t seem to figure out how to exclude rows with null values.

I have a view for a Location to list the inventory there.It generates a list of 1500 items.How can I see the total # of each of those?I’m trying to balance inventory, but do I have to export this report just to get totals?Like75 keyboard/mouse combos 35 mouse 24 HP ProBook model 18 Macbook Air

Currently, when a device is assigned to a user the device label shows make and model of the device, location, and asset #. Is there a way to add additional information to that label? I am wanting the status to be included. Is there a way to change? 

Does anyone have a trick for deleting an Asset Group when the delete button doesn’t show up?I created a few groups, but wanted to delete them all and start over. When I got to the last one remaining, the “Delete View” button isn’t showing in the lower left corner as it should.Is this possibly a bug?

We are going through all of our assets and models throughout our district and while trying to get everything organized for our summer inventory we’ve noticed that the default model for Apple TV (4th Gen) is set to the category “Electronics-Projectors” and we would like to change this to be Display Technology, however according to the documentation on the Models Tab there is no way to change this in the fly-out window. Is this something we can do in a different screen or is this a feature that will be implemented in the future?

As state testing begins en masse for our schools, we often need/want to verify that the Student Chromebooks that they have checked out to them/at home are at the required ChromeOS level to support state testing.But, only Agents can view the Asset details that show the ChromeOS.  AND there is no method to allow a Teacher to have a Custom View to see the complete inventory for the class.This results in manual reports being generated over and over again as we attempt to confirm that the Google Auto Update ChromeOS policies are working/updating in advance of the start of testing.Is there ANY permission that can be added to the Staff/Faculty that will allow the Asset details (ChromeOS version) to be viewed by Teachers?

Hello! Can someone tell me what the intended purpose is of the “Assignment” field under “Meta Information” when editing Asset Details? The devices were bulk imported at the start of the year. I just edited the Asset Details of a Chromebook Asset Tag, but it is requiring me to enter some data into the field. Thanks! Scott Sandrock

Maybe I’m missing something, so I’m hoping someone has the answer. When looking at fields that I can map asset data to under “Incident IQ Apps > Manage > Data Mapping” - in the list of fields, PO Number is listed there and I have it checked to allow apps to update it, but when I go to do this with JAMF or Google, PO Number isn’t showing up as one of the fields I can map data to. Does anyone else map PO numbers from apps? If so, how? In our case, JAMF contains our iPad PO’s and it would be helpful to just have them write automatically overnight when the sync runs. I’m afraid to just write it in as a custom field and inadvertently create a completely separate field with the same name.

We are using the Deployment option in the Rollout Scount app. When I enter a device to be checked out to a student who already has a device it gives me a message, Maximum number of assets ( 1 ) for Student [NAME] are already in service.To continue, please authorize. How do I authorize?

Would anyone happen to know how to edit assets in bulk?  For example: Books.  If we have 30 of the same book, but need to edit all of them at once, is there a function for that?  Right now we have to click on each book one-by-one to edit all of them.  Extremely time consuming.   Deleting the assets, then cloning again won’t work because then we will lose data such as which staff books are assigned to.   Thanks for reading and helping1 

Does anyone have any issues seeing all users when checking out devices on the mobile apps? When we go to check-out, select an asset, we can’t see students when we search users. Happens on both Android and iOS.

Can data for custom fields for assets be imported?

In our district we use charging carts for our chromebooks. These carts are tracked as an asset. In our previous help desk system we were able to assign chromebook assets to  cart asset within our inventory. Is there similar option available for Incident IQ?

Hello. I know that there is a timeline filter for the Owner Change Date and it asks you to select a range. However I just want that exact date as a column in my search results so that I may export it as a piece of data (field). I am tasked to report out the exact date assets was assigned to all our faculty.Not sure if I missed it in the filters, but if you could pls point me in the right direction.Thanks,Maggie NgParsippany Troy Hills School District.

Hi all!I would like to send out a notification from IIQ to PARENTS when students’ devices/assets have been returned/checked-in. So far the only way that I know of to achieve this is to use RULE. HOWEVER, I am running into the following problems:Students email accounts in grades k-5 are not set up to receive emails due to security reasons. There is no option for me to create a rule that would send the alert to parents/guardians. (I have submitted a ticket to IIQ admin to see if this can be done). I can assign assets to parent users and make them “assignees”. Is there a way to assign 3000 devices to 3000 parents by uploading a CSV file? That’s it for now.Thank you!Jean

When I go to search model in assets I have noticed it is only pulling the first word. IE “Acer Chromebook” if I search Chromebook, it does not come up. Is there a special character that I can include to search the whole field? I’ve tried * and +. Other ideas? Is there one at all? 

I have many times been successful doing bulk import on assets to change owners; however, recently we decided to create “owners” for rooms so we could check out to rooms instead of placing them in a room in the location field option to better be able to see what is in a particular room.  I was advised to use Guest role for these accounts, but when I try to bulk import, these guest roles accounts cannot be matched and do not show up when manually matching.  I was able to get around it by changing roll to Staff, uploading and then changing owner role back to guest, but that is less than ideal.  No problem finding guest owners individually to check out...just in bulk. 

Hello,We started using IncidentIQ in August.  I am just now working on linking Chromebooks to Carts.   I have gone through and created a number of carts and linked Chromebooks to 3 of them.   Before I go further, I want to start testing some features to make sure I am doing this correctly before fully implementing.Does anyone know how I create a filter to select all of the chromebooks that are linked to the cart asset.  I can find how to select the cart easy enough, but don’t know how to select all of the devices linked to that cart.Ideally, I would like to create a Google orgUnitPath Translation Map so that any devices linked to a cart are automatically moved to an OU for that cart. Thanks,Pat

For our district, we have the Google Devices integration with IIQ set up. We have filters set up so that IIQ writes the device’s OU back to Google Admin based on the location set up in IIQ. After we set this up, we found we had a problem - our school nurses have a small set of Chromebooks in their office that need to be kept in a special OU in Google Admin so they receive a custom configuration. With the way things were set up, these Chromebooks were being moved into OUs based on their location and thus lost their configurations.I attempted to correct this issue by creating additional filters so that we could map those specific assets back to the nurse’s office OUs. This has worked very well so far, but two Chromebooks in particular keep slipping out of the OU I want them in and going back to the OU based on their location.Here’s a screenshot of the sync history for one of these two Chromebooks. Is there a way to add a note to multiple assets at one time?  For example, I had some assets stolen during a break-in and would like to put in the notes the reason they are marked stolen.  I can go into each asset and type a note, but it would be much faster if I could put it in for multiple assets at one time.

How do you work with Asset Models that we don’t have Serial Number or barcode?   Can you?The need is we have Audio Equipment in classrooms, and we did not want to inventory the Serial Number and we did not put Asset Tags on them.   I would still like to know which rooms have the Audio Equipment by location and allow a teacher to submit a ticket with an issue related to their Audio device.   For example, “my audio enhancement in Room 12 at School is making a hissing noise”   I want to track that it was an equipment problem, but don’t need to know the serial number or asset tag.   does that make sense?  or should we go around and collect the serial number and put asset tags on every device?Thanks,-Nathaniel

I’m importing new assets, and IQ thinks my new assets are duplicates on the import process. I check the tags and serials in my search, and they are not found in my database. How do I fix this?
