Assets that contain other assets

In our district we use charging carts for our chromebooks. These carts are tracked as an asset. In our previous help desk system we were able to assign chromebook assets to  cart asset within our inventory. Is there similar option available for Incident IQ?

Owner Change Date as a Column

Hello. I know that there is a timeline filter for the Owner Change Date and it asks you to select a range. However I just want that exact date as a column in my search results so that I may export it as a piece of data (field). I am tasked to report out the exact date assets was assigned to all our faculty.Not sure if I missed it in the filters, but if you could pls point me in the right direction.Thanks,Maggie NgParsippany Troy Hills School District.

Email confirmation when an asset is checked-in

Hi all!I would like to send out a notification from IIQ to PARENTS when students’ devices/assets have been returned/checked-in. So far the only way that I know of to achieve this is to use RULE. HOWEVER, I am running into the following problems:Students email accounts in grades k-5 are not set up to receive emails due to security reasons. There is no option for me to create a rule that would send the alert to parents/guardians. (I have submitted a ticket to IIQ admin to see if this can be done). I can assign assets to parent users and make them “assignees”. Is there a way to assign 3000 devices to 3000 parents by uploading a CSV file? That’s it for now.Thank you!Jean

Is there a precursor character for searching asset models?

When I go to search model in assets I have noticed it is only pulling the first word. IE “Acer Chromebook” if I search Chromebook, it does not come up. Is there a special character that I can include to search the whole field? I’ve tried * and +. Other ideas? Is there one at all?

Bulk Import Assigning Assets to Guest Accounts

I have many times been successful doing bulk import on assets to change owners; however, recently we decided to create “owners” for rooms so we could check out to rooms instead of placing them in a room in the location field option to better be able to see what is in a particular room.  I was advised to use Guest role for these accounts, but when I try to bulk import, these guest roles accounts cannot be matched and do not show up when manually matching.  I was able to get around it by changing roll to Staff, uploading and then changing owner role back to guest, but that is less than ideal.  No problem finding guest owners individually to check out...just in bulk.

How to Filter Assets linked to another Asset

Hello,We started using IncidentIQ in August.  I am just now working on linking Chromebooks to Carts.   I have gone through and created a number of carts and linked Chromebooks to 3 of them.   Before I go further, I want to start testing some features to make sure I am doing this correctly before fully implementing.Does anyone know how I create a filter to select all of the chromebooks that are linked to the cart asset.  I can find how to select the cart easy enough, but don’t know how to select all of the devices linked to that cart.Ideally, I would like to create a Google orgUnitPath Translation Map so that any devices linked to a cart are automatically moved to an OU for that cart. Thanks,Pat

Google Devices OrgUnitPath Translation Maps - working except for two particular Chromebooks?

For our district, we have the Google Devices integration with IIQ set up. We have filters set up so that IIQ writes the device’s OU back to Google Admin based on the location set up in IIQ. After we set this up, we found we had a problem - our school nurses have a small set of Chromebooks in their office that need to be kept in a special OU in Google Admin so they receive a custom configuration. With the way things were set up, these Chromebooks were being moved into OUs based on their location and thus lost their configurations.I attempted to correct this issue by creating additional filters so that we could map those specific assets back to the nurse’s office OUs. This has worked very well so far, but two Chromebooks in particular keep slipping out of the OU I want them in and going back to the OU based on their location.Here’s a screenshot of the sync history for one of these two Chromebooks. Adding Notes to multiple assets at once

Is there a way to add a note to multiple assets at one time?  For example, I had some assets stolen during a break-in and would like to put in the notes the reason they are marked stolen.  I can go into each asset and type a note, but it would be much faster if I could put it in for multiple assets at one time.

Assets with Serial number or barcode

How do you work with Asset Models that we don’t have Serial Number or barcode?   Can you?The need is we have Audio Equipment in classrooms, and we did not want to inventory the Serial Number and we did not put Asset Tags on them.   I would still like to know which rooms have the Audio Equipment by location and allow a teacher to submit a ticket with an issue related to their Audio device.   For example, “my audio enhancement in Room 12 at School is making a hissing noise”   I want to track that it was an equipment problem, but don’t need to know the serial number or asset tag.   does that make sense?  or should we go around and collect the serial number and put asset tags on every device?Thanks,-Nathaniel

Displaying Asset Location Details

After searching for/selecting someone in Users Explorer, it displays any assets assigned to them in the card- or button-type of display (circled below). The asset type, location (including room) and asset SN is displayed. But, is there any setting that can be adjusted to add location details to this asset card/button?Reason for my question...a teacher is assigned as the primary user to a lab of about 20 desktop units, so all those units display as assets in her users’ view to help her “quickly” find an asset to submit a ticket for...except it’s not that easy because she has to know the SN of the desktop.In her classroom, she has each station labeled 1-20, so those desktop positions are recorded along with the appropriate SN they’re assigned to within the IIQ asset info (specifically, the empty box underneath “room”). If location details could be displayed on the asset card, then choosing which desktop to submit a ticket for becomes much easier for her.On a similar, but different note,

I’m importing new assets, and IQ thinks my new assets are duplicates on the import process. I check the tags and serials in my search, and they are not found in my database. How do I fix this?

How can I find out which models are "active" and which aren't?

I’d like to clean up the number of models that we have in the ticket creation wizard. It’s far too many.How can I tell which of these models are considered “active” or “enabled” and which aren’t?For instance, when I look at the asset explorer, if I were to create a new asset, I see this notice:  Where can I get a list of all active/inactive models?Thanks.

Running report to see which multiple device was assigned first

I would like to be able to run a report to see dates that each device (especially when multiple devices are involved) was assigned.  It would be helpful in determining which are loaners, and identifying problems.

How to export/view user asset checkout history?

We are trying to determine which users/students utilize our loaner devices policy the most so we can identify which users are abusing our loaner policy.Per asset in the timeline tab we are able to see the history of all the changes made to the device including the past owners of the device. However there does not seem to be a way to export the data for multiple devices timelines at once. There also does not seem to be a device history timeline in the user data tabs.We are open to using the API but cannot seem to locate how to export a devices timeline of events.Anybody know how to pull this data? as it seems strangely inaccessible.

Rapid scan only scans first device

I am not able to scan multiple devices using Rapid Scan.  The first device scans successfully but additional scanned devices do not create an asset list as shown in the video. There is no error message the scan is just ignored.  Is there a specific setting for barcode scanners?

unlink asset on assignment

Hi Everyone, I was wondering if anyone had a way either through a rule or possibly a feature enhancement that I can unlink an asset when it is assigned to a student. We use device lockers in our buildings as swap devices when a student breaks a device. We assign that device to the student and refill the lockers on the back end. Currently we link the computers to the locker so that we can see at any one point what is in the lockers. The problem is right now we have to manually unlink the asset when we assign it or it does not show that it has left the locker. Any thoughts would be greatly appreciated.

Viewing tickets associated with an asset

HI, I am wondering if there is a way to look at previous tickets for a certain asset? I have been digging around and have yet to find out if that is an option. Does anyone know if that is a thing or if it will be? I am needing to pull a report of all tickets created for a couple assets.

Dispose Chromebook

Here is my issue, we have multiple sites and bring back old retired or damaged devices and then send them to the recycler. When I mark the chromebooks as disposed after google sync it changes their status back to deprovisioned and assigns it back to the last student that used it (as long as their account is active) as well as the original device. I think I figured out the deprovision issue but cant seem to find out how to stop the assigning on retired devices and moving back to the original site. Any thoughts or suggestions would be awesome.

Spare Pool Permissions

I was reading up on using spare pools and saw something about allowing other users to issue a spare from the spare pool. I went in to the spare pool but could not find these permissions. Also, can a specified user add the spare before the ticket is submitted? When a student comes in with a broken Chromebook, right now we are writing it in the comments and I add it later. This takes time and manging the spares a bit more difficult. Another questions is can we issue a spare to a student for the day? Like if a student forgot their Chromebook and need a spare for the day. Can I assign a specific user to issue a spare for the day?Thanks.

Asset Not Importing with Error Asset Exists

We created a custom field to document repair notes and so that they appear right at the top of the asset page when it’s loaded. However, when I try to import into that field this is the error I receive during import.  It keeps skipping the entry and I’m not able to import but I’m not sure why I cannot just overwrite the existing data? Is it related to my custom field? There’s just no message to help me understand what’s the issue. Thank you!

Remove barcode number on labels

We are interested in printing a barcode label with the student’s name and ID barcode associated with the device they have checked out.  In order to protect their ID number we would like to show the barcode, but hide the actual number that is associated with the barcode.  I couldn’t find a way to hide it.  Anyone know of a way?

ECHANGING devices

Is there a way to leave a students name on a device when doing an exchange?  Just need the easiest way of seeing whose device it was because once you do an exchange it removes the device from the student which is great but need to do some other processes after that and it would be helpful to still have their name attached.
